Administration Assistant

Sydney Office

This position provides administrative support to the Ebix Trades Monitor team based in Chatswood. Handling initial client contact for a range of Ebix compliance services, this position requires someone with a professional attitude and the capacity to handle a
variety of tasks.

The core responsibilities of this role include but are not limited to the following:

• Record, update and monitor client compliance
• Manage client queries over the phone and by email
• Handling incoming mail including scanning and filing
• Assist with OH&S monitoring
• Assist with client inductions
• Processing of office accounts including client billing

• Preparation of management and client reports
• Assist with general office administration
• General reception and telephony duties


Experience and skills required to successfully fulfill this position include strong english and communication skills, specifically the ability to communicate in a courteous and professional manner at all levels of business, both internally and externally, and via all media (telephone, email and face-to-face).

Strong Microsoft Word skills are a must; Excel skills are desirable.
Previous Reception or Administration experience is an advantage but not essential.

  • Manage client sales inquiries for changes to software license subscriptions, licensing of new software modules and queries about existing software license arrangements.
  • Respond to prospect and client inquiries generated through sales and marketing campaigns.
  • Respond to and follow up sales enquiries by post, email, and telephone.
  • Maintain the customer and prospect database.
  • Manage relationships with clients and industry partners.
  • Manage the information flow between the relevant Ebix Sales, Technical and Support teams.
  • Provide the first point of contact for new and existing clients for all levels of inquiries.
  • Monitor and report on activities and provide relevant management information.
  • Liaise and attend meetings with other company functions necessary to perform duties and aid business and organisational development.
  • Attend training to develop relevant knowledge and skills.

This role requires somebody who has exceptional attention to detail and strong time management skills. The applicant should be a highly organised individual, who can work well independently, and as part of a busy team. The applicant needs to be unfazed by working on multiple, overlapping tasks.

 

The ideal candidate will possess:

Specific Job Skills – Previous Customer Service or Sales experience.

 

Computer Skills – A high level of computer competency in particular with Sales Administration and CRM Systems, MS Word and Excel.

 

Commercial Skills – Ability to manage clients and respond to client requests in a timely manner.

 

Oral and Written – Ability to communicate in a courteous and professional manner at all levels of business, both internally and externally and via all media types (telephone, email and face-to-face).

Technical Analyst

Sydney Office

The Technical Analyst will be a member of the Ebix Professional Services Team interpreting and translating business needs into tangible outcomes, through investigation, assessment and documenting the business requirements of Ebix software solutions.

 

A primary focus of this role is the analysis of client requirements for adoc reporting and developing analytical and business intelligence reports. The role will require a level of understanding across the entire Ebix product range.

  • Gather and analyse business requirements for the Ebix range of business and eCommerce solutions.
  • Assess implications of proposed solutions and identify alternative options, if appropriate, to achieve the desired outcomes.
  • Preparation of Business Needs Analysis documents and enhancement specifications for Ebix clients and internal stakeholders as required.
  • Analyse client requirements for business intelligence and analytical reporting including solutions to be developed using the Qlik range of business intelligence software.
  • Develop business intelligence and analytical reports as well as data extracts from Ebix broking systems and eCommerce solutions, including Sunrise Exchange and iClose.
  • Assist the development team to ensure their technical resolution of requirements specifications meets desired outcomes.
  • Provide internal and external escalation production support for other Ebix applications and services.
  • Liaise with customers regarding proposed design solutions and standards.
  • Maintain and update technical reference material including standards documents, software release notes and reference guides.
  • Assist the QA team with test plans and strategies to ensure that business requirements are met.
  • From time to time, as directed, coordinate the activities involved in product development to ensure delivery of the finished product.
  • Assist facilitation of deployment of Test, Release Candidate and Production releases/patches.
  • Assist in general Customer Support activities.
  • Contribute to internal systems, in particular JIRA Incident Tracking system, Confluence and Sharepoint document repository.
  • Provide feedback on progress updates and issues to the relevant product management and support teams.
  • Minimum 2 to 4 years’ experience in a business related technology focused role with a minimum of 2nd Level Support/Service responsibility.
  • Financial Services industry experience
  • Java programming, SQL Reporting/analytics
  • Produce high quality solutions that are aligned with both Ebix’s and the Customer’s objectives.
  • Utilisation of best available technology.
  • On time and on budget project implementations.
  • Meet all project deliverables.

Knowledge of the Insurance or Financial Services Industry and current IT technologies, including e-commerce is desirable.
